The Season

How the Program Is Paced

Public nights run all year. Charter season peaks October through April, and the flagship series sails once per season.

Peak season opens. Corporate end-of-year charters fill November and December, the Summer Invitational sails the first week of December, and harbour nights sell fastest in this window.
The Hobart leg runs in January around the yacht race finish. Public bounty nights continue fortnightly, and bucks-season charters fill most Saturdays.
The Reef Poker Series departs mid-April for Cairns. Charter availability opens up after the series returns, making autumn the easiest season for midweek bookings.
Vessels refit and crews train. A reduced public-night schedule continues inside the harbour, and next season's calendars open for early bookings at the winter rate.

Port infrastructure matters when four hundred guests arrive at once. Here is how each terminal handles a charter load-in.

Overseas Passenger Terminal

Guest Transfers

Sea-Air Arrival, Choreographed

For VIP manifests we build the arrival into the event itself: jet to helipad to gangway, timed so the first cards land as guests take their seats.

Arrive by Air

Private jet terminals at Bankstown or Mascot, met by our transport coordinator at the steps.

Helicopter Leg

Seven-minute harbour transfer, landing either at the helipad deck or the Olympic Park heliport with car onward.

Step Straight Aboard

Private boarding window before general embarkation, luggage delivered directly to cabins.

All transfers operated by CASA-certified partners and covered under the event's insurance schedule.

International Guests

Border Paperwork, Handled

International manifests on coastal itineraries require passenger manifests and customs clearance. Our logistics desk runs the paperwork so guests only handle their own visas.

Manifest Lodgement

Guest details lodged with the vessel's agent ten days out. You submit a spreadsheet; we handle the format.

Step two

Customs Coordination

High-value equipment and exhibition goods cleared through the terminal's bonded process in advance.

Step three

Arrival-Day Clearance

Border officials meet the vessel at first port. Guests clear in the terminal hall, usually under twenty minutes.

Harbour circuits inside Sydney Heads do not involve customs at all. Only itineraries entering international waters trigger the manifest process.

What Embarkation Looks Like

The terminal doors open sixty minutes before departure. Here is the flow your guests follow, whether the manifest is 40 names or 480.

Check-in & lanyards

Name check against the manifest, table draw and a welcome lanyard that doubles as your seat card.

Security screening

Standard maritime screening, about the pace of a concert door. Prohibited items list sent with your tickets.

Event season peak. Jacaranda harbour views and the year's best light.

Route Questions

Before You Choose a Route

Yes, within the vessel's operating limits and port availability. Custom routes need a minimum four-hour charter and additional planning time for berthing approvals outside Sydney.
Harbour circuits stay inside the Heads. Coastal runs travel three to twelve nautical miles offshore depending on conditions, so the horizon clears the skyline for the night.
The captain decides by midday on sail day. We offer an alternate sheltered route, a reschedule window of twelve months, or options under the refund policy.
Only on multi-day series, where cabins are included in the fare. Evening charters return to the same terminal by 22:30, and our service list explains accommodation options.
